SYNC and Cloud: 5 Setup Steps


The cloud can be used for file backup, and data sharing with conference office, NCAA, opponents, even if you do not use the new scoring app's. You can score in legacy, and then upload files to the cloud for live stats or post-game reporting. This saves time, and ensures data backup.


Once you receive cloud login instructions from Stat Crew office, here are basic steps to prepare your school cloud site for upcoming season and data sharing.



1. School Profile


Log in to the cloud site for your organization, click the School Profile tab in top right corner of Dashboard. Review and edit contents to make sure it is accurate. If you plan to use the option to auto-send final XML to the NCAA, make sure your NCAA code and NCAA password are entered correctly. If any questions with your NCAA code, contact us for assistance.


If your role in the cloud is school admin or conference admin, you can add/remove staff accounts. Select "Users" tab and follow prompts.

2. Schedule


Enter your schedule for 17-18 in the cloud. Select sport, select men or women, select 17-18 if it is not already selected, select the Schedule tab, and then click New Game. Follow prompts to enter data for the schedule. Whether using cloud or client, the data will be saved to the cloud, for your schedule and opponent’s schedule. If you have trouble locating an NCAA member in the opponent list, contact us in the office.

Note, you can add "unofficial" or exhibition, test opponents to the local client(you cannot add local teams to the cloud). When prompted in the scoring app New Game Setup, select "Add Local Team" from the Full Team List. This is helpful for running test or evaluation games in the new app.

3. Roster

If your roster from last year (16-17) is already in the cloud, then you must use the cloud options to move players forward. From the cloud Dashboard, select the sport, select the Roster tab, select 16-17. Then select the players from last year to be added to the 17-18 roster. Click “Add players to next season”. Now change directories to 17-18, click Rosters, and continue with new players, editing for the season, etc. This routine for moving players important, for pulling player career stats together. Please let us know if any questions with this roster routine.

If your roster from previous seasons is not already in the cloud, then you have 3 options for entering the roster for 17-18:

a. Manually key in the players, using the cloud roster tab. Select the season, select Roster tab, and select New Player. The roster will be saved to the cloud.

b. In the SYNC app, import a roster XML. The Roster XML is created in Legacy Software. Select Season Reports, Select your team from the teams List, select Stats | Roster Report | XML. This will save the roster in XML format, and place it in the \reports subdirectory. Navigate to this directory when prompted to import the roster in SYNC.

c. In the cloud, import a legacy roster (Legacy basketball roster BRO for example). Select Roster | Import Roster, and follow prompts to import a roster created in legacy.

4. FTP Sites for live stats

Live stats FTP is not required inthe cloud. If you plan to use the cloud for live stats FTP distribution, you will setup FTP sites in the cloud or SYNC client, for live stats distribution. In the cloud or client, select the FTP tab for your sport, and then New Site. Follow prompts to enter all the information for your FTP site. If FTP sites are already entered in the cloud, you should see them show in the SYNC app. The FTP site is specific to a season, and to M/W.

5. Scoring

To familiarize your staff with the new scoring app, we recommend setting up test games in the local SYNC app. (SYNC | Schedule | New Game). You will be prompted to select home and visitor, and at this point in the setup, you can select “Add Local Team”. You can create two “test” teams, so that you will not affect stats in the cloud with an official opponent.


Once the game is saved to your schedule, you will be able to select the game to start scoring. Import roster XML’s (for example, use the legacy \samples directory to create roster xml files, see instructions above under ROSTERS). Or you can manually add a test team roster. Once rosters are entered/imported, select starters, and then start the clock and input plays.


If you are familiar with next gen scoring, most keystrokes and function keys are the same. If you are familiar with legacy keystrokes, those input keys are also the same.
